The Visitor Management System (VMS) is a centralized platform that enables government agencies to manage events and visitor registrations. Ahead of a major tender, I was engaged as a designer to reimagine the look and feel of the system, with a focus on modernizing the interface and enhancing user experience.

The Challenge

The existing VMS interface was functional but outdated, with a corporate-heavy aesthetic and a non-optimize user flow. One major pain point was the multi-step process required to create a new event, which involved navigating through several layers of menus.
With the tender approaching, the client needed a visually refreshed and user-friendly interface that would:
  • Improve usability for a wide range of government users
  • Reflect a more approachable and trustworthy brand identity
  • Demonstrate innovation and readiness for future scalability

My Approach

1. User-Centered Enhancements

After reviewing user behavior and feedback, I identified a key opportunity to streamline the event creation process. Instead of forcing users to navigate to a separate page, I introduced a quick-access shortcut on the homepage—allowing users to initiate event creation with a single click.
This small but impactful change will:
  • Reduced friction in daily workflows
  • Made the system feel more responsive and efficient
 

2. Visual Redesign with Purpose

To move away from the rigid, corporate feel, I adopted a simple, playful, and colorful visual language—inspired by current UI trends and the emotional goals of the system.

Color Palette:

  • Blue: Symbolizes honesty and trust—critical for a government-facing platform
  • Yellow: Evokes positivity and joy—making the system feel more welcoming

Design Elements:

  • Wavy patterns were introduced to soften the layout and add visual rhythm
  • Clean typography and generous spacing improved readability and focus
  • Iconography and micro interactions added delight without overwhelming users

Impact & Reflections

While the redesign is currently being evaluated for the upcoming tender, early stakeholder feedback has been overwhelmingly positive. The new design:
  • Improves usability for both new and experienced users
  • Aligns with modern UI expectations while maintaining professionalism
  • Positions the system competitively for future adoption and expansion
With 40 government agencies and 30,000 users relying on VMS, this redesign lays the foundation for a more human-centered, scalable experience.

Final Thoughts

This project was a great example of how small UX decisions—like a homepage shortcut or rounded button—can have outsized impact. As a consultant, I enjoyed blending strategic thinking with hands-on design, crafting a solution that feels both functional and joyful.
